How to: DST Fanmail adding connections 

This SOP goes through how you would add other data connections to an already established DST Fanmail that has been set up prior. 

SOP: Add Mutual Funds, Variable Annuities, Variable Universal Life Companies, Alternative Investments, and Program Managers in DST FanMail

Objective

This SOP explains how to add financial institutions and related account data into an existing DST FanMail setup. It ensures the advisor information matches the correct record and that each connection is validated before saving.

Key Steps

 

1. Open the existing DST FanMail setup and go to Functions 0:14

  • Confirm you are working in an already established and functioning DST FanMail environment.
  • Verify the correct software/advisor setup is displayed before making changes.
  • Navigate to Functions to begin adding a new connection.

 

2. Add a mutual fund connection 0:24

  • Select the Mutual Funds tab.
  • Choose the mutual fund company, such as American Funds.
  • Confirm the advisor name fields match the intended advisor record:
    • First name
    • Middle name/initial
    • Last name
  • Enter the required company-specific identifiers:
    • Dealer number
    • Branch number
    • Rep code
  • Use the information provided by the mutual fund company or data source.
  • Enter one client’s Social Security number in the available field.
  • Click Add to List.
  • Confirm the system auto-populates the client name, account number, and related details.

 

3. Add a variable annuity connection 1:26

  • Open the Variable Annuities tab.
  • Select the insurance company, such as Bright House Financial.
  • Verify the advisor name matches the correct record.
  • Enter the required fields:
    • Advisor/rep Social Security number
    • Rep date of birth
    • Client contract number
  • Click Add to List.
  • Confirm the system auto-populates the remaining information and indicates a valid connection.

 

4. Add a variable universal life connection 2:12

  • Open the Variable Universal Life section.
  • Select the company, such as Transamerica Life.
  • Confirm the advisor name auto-populates correctly and matches your records.
  • Enter the required fields:
    • Rep Social Security number
    • Rep date of birth
    • Client contract number
  • Click Add to List.
  • Verify the connection details populate below and show a successful match.
  • Click Save to finalize the setup.

 

5. Exit without saving if needed 2:47

  • If you are only testing or do not want to keep the changes, click Cancel instead of saving.
  • Use this option when you need to back out of the setup without applying updates.

Cautionary Notes

  • Ensure the advisor name, Social Security number, and date of birth match the intended rep exactly before adding the connection.
  • Use the correct company-provided identifiers for each institution; incorrect dealer, branch, or rep codes may prevent a valid connection.
  • Only click Save when you are certain the connection is correct and complete.
  • If you are not ready to keep changes, use Cancel to avoid saving incomplete or incorrect data.

Tips for Efficiency

  • Gather all required company credentials and advisor details before starting.
  • Keep a reference sheet for dealer numbers, branch numbers, rep codes, and contract numbers.
  • After clicking Add to List, verify the auto-populated data immediately to catch errors early.
  • Use the same validation process for each institution type to reduce setup mistakes.
